FREQUENTLY ASKED QUESTIONS (FAQs)

Can I engage a ghost writer to write my entry? Yes! Just ensure the final submission is fully endorsed by you. Also, the person registering and submitting the entry should be the best contact for event-related questions and Award communications—likely not your ghost writer. If you would like contact details for writers, please email info@nzea.co

What if my event is a series with some of the events outside the qualifying period?

If the majority of the series is within the qualifying period, then that would enable you to enter for the series. If you’re not sure, please don’t hesitate to email us on awards@nzea.co

Can I enter the same event into more than one category?

Yes, the same event may be entered for more than one category provided it is eligible for each category you are entering.

What supplementary material can I submit with my entry?

Entrants may provide the following items of supporting material:

  • Up to three images (high resolution, with photo credits in the file name if applicable)

  • Up to two videos (link to video to be provided, total viewing time to not exceed three minutes)

  • Any two of the following:

    • Audited accounts

    • Team CV's (single document, up to four pages)

    • Training and development records (single document, up to four pages)

    • Copies of media coverage (single document, up to four pages)

    • Media evaluation (single document, up to four pages)

    • Client references or testimonials (single document, up to two pages)

    • Circulation figures (single document, up to four pages)

    • Website analytics and social sharing (single document, up to four pages)

    • Post-event report (single document, up to four pages)

    • Marketing materials (single document, up to four pages)

    • Weblinks (limit of two)

    • Market research findings (single document, up to four pages

What if my entry exceeds the specified word count?

The word limits will be strictly enforced so please adhere to them. If your submission runs over the specified word counts, only the first 500 words of the executive summary and the first 1500 words of the questions section will be judged. Where testimonials/references are requested, these need to be limited to the word count specified (not all categories require testimonials).

Can I use AI tools to help with my entry?
AI tools can be a great resource to help craft your submission, but please ensure your entry is thoroughly reviewed and refined so it accurately reflects the full scope of your amazing event—our judges appreciate clear, authentic storytelling over AI-generated word-salad!

What has the consistent feedback been from judges in the past that I should take note of?

Each year, judges have consistently commented on how many applications simply do not answer the questions. So please ensure you read the questions properly and give the information requested. If you feel there is relevant additional information to include, utilise any spare word count in the opening summary.

Judges have also commented that applicants should clearly demonstrate their success by stating how they achieved their objectives e.g. if the objective was to grow attendance of a certain age group, but your figures just demonstrate a 40% increase in audience, the judges won’t know you achieved your objectives or that your marketing plan was successful, etc.

Include evidence to support the claims you make within your application.

Can I make a late entry?

If you can’t submit your entry by the standard entry cut-off of 11:59pm, Sunday 27 April, you can submit a late entry up until 11:59pm, Thursday 1 May. Late entries incur an additional fee of $80+GST per entry. You do not need to make prior arrangements for a late entry, the fee will automatically be added to your entry fee if you make your submission within the late entry period.

When will I hear if I am a finalist?

Finalists will be announced 7 July 2025. Winners will be announced at the NZEA Event Awards Gala Evening to be held at Claudelands’ GLOBOX Arena on 2 September 2025. The Gala Evening will be the official dinner of the Eventing the Future 2025 Conference.

How do I buy a ticket to the Awards Function?

If you’re attending the Eventing the Future Conference, you can buy an Awards Gala Evening ticket as part of your conference registration here: https://www.eventingthefuture.co.nz/ once tickets go on sale.

Standalone Awards Gala Evening tickets will go on sale when the finalists are announced on 7 July. We will advise all finalists, entrants and NZEA members when tickets go on sale.
